Public Notice: Destruction of Student Records

Van Wert City School District

In accordance with the District’s adopted Records Retention Schedule and applicable state and federal law, Van Wert City School District is reviewing and preparing to destroy certain obsolete student records. This is the first comprehensive review of archived special education records dating back to 1965. As part of this process, the District is conducting a systematic review of files maintained in accordance with state retention requirements.

Records subject to destruction may include special education files, IEPs, Section 504 plans, evaluation team reports, tutoring reports, and related health or therapy records.

As required by law, the District is making a good faith effort to notify former students and/or parents/guardians by mailing letters to the last known address on file and by posting this public notice. Because some records date back several decades, certain mailings may be delivered to addresses that are no longer current. The District is following required notification procedures by sending notice to the last known address contained in the student record.

Former students or parents/guardians who wish to obtain copies of these records must contact the Special Services Office no later than June 1, 2026.

Valid photo identification will be required to obtain records.

Please note: Permanent student records (name, address, grades, attendance, classes attended, grade level completed, and year completed) will continue to be maintained by the District.

This will be an ongoing process as the District works through archived files in accordance with applicable records retention regulations.
